Customer Relations Team Privacy Policy

This policy explains how House of Huda uses customer information in its private Customer Relations Team application (the “App”) to provide order and customer support. The App is an internal tool operated by House of Huda on its authorized MacBook. This policy supplements the House of Huda website privacy policy.

Information the App may process

After House of Huda separately authorizes a connection, the App may process customer-service information from House of Huda’s two business Gmail accounts, the House of Huda Shopify store, the House of Huda Instagram Professional account, and order-related Apple Messages available on the authorized MacBook. This may include a customer’s name, contact details, order number, purchased products, fulfillment and tracking status, customer-service messages, and evidence the customer voluntarily provides about a delivery, return, damage, or product-condition concern.

The App filters for recognized order numbers and customer-service topics. Personal or unrelated Apple Messages and Instagram messages are excluded by default. The App does not request payment-card numbers, government identifiers, unrelated personal conversations, or other information that is not needed for the customer-service case.

How information is used

House of Huda uses this information to match a customer to the correct order, answer product and fulfillment questions accurately, prepare customer-service drafts for review, keep a consistent case timeline across authorized channels, preserve relevant evidence, detect cases that need prompt human attention, and prevent duplicate or conflicting replies.

The App does not make automated legal or financial decisions. It does not automatically send messages, issue refunds, approve returns, cancel orders, replace products, grant discounts or credits, or make other customer commitments. Those actions require an authorized House of Huda team member’s case-specific decision.

Instagram and Meta information

If House of Huda authorizes Instagram messaging access, the App uses Meta’s official API to retrieve business-account conversations for customer-service purposes. The App requests only the permissions needed to identify the authorized Instagram Professional account and access its messages. It does not use Instagram information for advertising, profiling, sale, or unrelated purposes. Unrelated DMs are discarded rather than added to the Customer Relations Team inbox.
